Partners in Healthy Living Ottawa COMMITTEE

Description and Mandate:

The Partners in Healthy Living Ottawa Committee is the collective of partners participating in Partners in Healthy Living Ottawa. The Partners in Healthy Living Ottawa Committee is the large body of partners which share a basic commitment to contributing to heart health in the City of Ottawa. It is an open body which sets the large environment from which partners can work and support heart health initiatives.

Accountability:

The Partners in Healthy Living Ottawa Committee is accountable to itself through its guiding principles, mission statement, visioning plan, and other framework components for programs and activities. It is accountable to the Ministry of Health of Ontario through Ottawa Public Health for fiscal responsibility and delegates the fiscal management to the Partners in Healthy Living Ottawa Executive Committee.

Membership:

Members are individuals and organizations who consider themselves partners and are interested in shaping the direction of the program and/or are interested in participating in the program. They can participate at the Partners in Healthy Living Ottawa level and/or through the sub-committee structure. Agencies and organizations can have one or more members on the Partners in Healthy Living Ottawa Committee.

Committee Functions:

The Committee functions:

  1. to provide a forum to share information and ideas about heart health;
  2. to enable communities and organizations to provide input into seasonal campaigns, other Partners in Healthy Living Ottawa events, and general directions of the Partners in Healthy Living Ottawa program; and
  3. to encourage networking between communities and organizations interested in heart health.

When required, the Partners in Healthy Living Ottawa Committee ratifies the business of the Partners in Healthy Living Ottawa Executive Committee.

With the Partners in Healthy Living Ottawa Committee acting as the nominating committee, the Partners in Healthy Living Ottawa Committee selects three Executive Officers to sit on Partners in Healthy Living Ottawa Executive Committee.
These are:

the Chair (who becomes the Past Chair),
the Vice Chair (who becomes the Chair),
and the Past Chair.

Each of these officers serve at each post for a period of one year. Under these terms, only a Vice Chair is selected on an annual basis.

Terms may be extended for a short transition period should there be circumstances preventing the immediate selection of new officers.

Decision Making:

Decision making is by majority vote. Each agency only gets one vote and the vote is determined by the representatives of the individual agencies present.

Frequency of Meetings:

The Partners in Healthy Living Ottawa Committee meets three or four times per year and holds an annual retreat to reflect, analyze the past year's work, share information, and set a planning framework for the future. The meetings are chaired by the Chair of the Partners in Healthy Living Ottawa Executive Committee or as delegated by the Chair.

Committees and Coalitions:

In order to build a stronger network for heart health in City of Ottawa and to achieve the goals of Partners in Healthy Living Ottawa, the Partners in Healthy Living Ottawa Committee can develop a sub-committee, work group, or develop a partnership with another coalition or committee. The general mandate of the newly developed sub-committee can be set by the Partners in Healthy Living Ottawa Committee but the structure of the developed committee will be determined by the members of the developed committee.

Quorum:

The quorum is 50% of the members listed on the central records of the Heart Health Project Officer.

Staff Support:

Ottawa Public Health will provide staff support to the Partners in Healthy Living Ottawa Committee and the sub-committees
